This Privacy Policy explains how we collect, use, disclose, and protect information when you visit beyondrealityvr.com, contact us, subscribe to updates, book or pay for a session, sign a waiver, or participate in an in-person experience.

Information We Collect

Information you provide may include your name, email address, telephone number, booking date and time, number of players, messages, promotional preferences, and information needed to provide customer support.

For waivers, check-in, and participant safety, we may collect a participant’s name, age or date of birth, signature, emergency-contact information, and health or accessibility information that a participant or guardian voluntarily provides. A parent or legal guardian may be required to provide information and sign for a minor.

VR Gameplay, Movement, and Device Data

During check-in and gameplay, our systems may process headset and controller identifiers, calibration information, approximate height, play-area position, body or hand movement data, in-game actions, team assignments, scores, equipment assignments, connection and network information, performance data, crash logs, and other technical information needed to operate a free-roam multiplayer experience.

Movement and calibration information is used to render gameplay, align the virtual and physical play areas, prevent collisions, troubleshoot equipment, maintain game integrity, and support participant safety. We do not use this information to identify participants through facial recognition, and we do not sell movement or calibration information. Unless information must be retained for an incident, dispute, security investigation, or technical diagnosis, detailed live movement data may be processed only for the duration reasonably needed to operate or support the session.

Booking and Payment Information

We collect booking details such as the selected session, date, time, player count, price, payment status, and transaction identifiers. Payments are processed by Stripe. We do not directly receive or store full payment-card numbers. Stripe may collect payment, billing, device, and fraud-prevention information according to its own privacy policy.

Information Collected Automatically

When you use our website, we and our service providers may automatically collect information such as your IP address, browser and device type, operating system, referring page, pages viewed, approximate location, dates and times of visits, and interactions with website features.

Cookies and Analytics

We may use cookies and similar technologies to keep the website functioning, remember preferences, understand site traffic, measure marketing performance, and improve our services. This may include Google Analytics. Google’s privacy information is available at Google Privacy & Terms.

You may use our cookie controls, when available, or your browser settings to block or delete cookies. Blocking some cookies may affect website features. Because browser “Do Not Track” signals are not standardized, our website may not respond to every such signal.

How We Use Information

We may use information to process and manage bookings and payments; confirm reservations and send receipts or service messages; answer questions and provide support; administer waivers and check-in; maintain participant and venue safety; operate, secure, troubleshoot, analyze, and improve our website, games, and services; prevent fraud and misuse; maintain business, tax, accounting, and legal records; enforce our terms; and comply with applicable law.

We may send promotions, coupons, event announcements, or business updates when permitted by law. You may unsubscribe from promotional emails at any time. Unsubscribing from marketing will not stop necessary booking, payment, safety, or service communications.

How We Share Information

We may share information with service providers that help us operate, including Stripe for payment processing; IONOS and WordPress for website, hosting, and email services; Google for analytics; and providers used for booking, communications, security, waiver management, customer support, equipment support, game operations, insurance, or business operations.

We may also disclose information when required by law; to respond to lawful requests; to prevent fraud; to protect the rights, property, or safety of customers, employees, the public, or Beyond Reality VR; or as part of a merger, financing, sale, reorganization, or transfer of business assets.

We do not sell personal information for money. We do not share personal information for targeted advertising unless we provide any notice and choice required by applicable law.

Facility Safety, Security Cameras, and Incident Records

Our facility may use security cameras in public, entrance, equipment, staging, and play areas for safety, loss prevention, incident review, and security. Cameras will not be placed in restrooms or other areas where privacy is reasonably expected. We may also create incident reports containing participant, witness, gameplay, equipment, injury, or emergency-response information when reasonably necessary. Camera footage and incident information may be shared with insurers, legal advisers, emergency responders, law enforcement, or other appropriate parties when reasonably necessary or legally required.

Photos, Video, Social Media, and Embedded Content

Our website may include videos, maps, social-media features, or other content provided by third parties. Those providers may collect technical information or use cookies when the content loads or when you interact with it. Any separate use of a participant’s image, video, or gameplay footage will be governed by the consent, release, or notice provided for that activity.

Data Retention

We retain information only as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining booking and transaction records, supporting safety and waiver administration, resolving disputes, enforcing agreements, and meeting legal, tax, insurance, and accounting obligations. We use reasonable administrative and technical safeguards designed to protect personal information. However, no website, electronic transmission, or storage system can be guaranteed to be completely secure.

Children’s Privacy

Our website is not directed to children under 13, and we do not knowingly collect personal information online directly from children under 13. A parent or legal guardian should make bookings and complete required waivers for minors. If you believe a child under 13 provided information directly to us, please contact us so we can review and delete it when appropriate.

You may ask to access, correct, or delete personal information we maintain about you, subject to identity verification and applicable legal, safety, insurance, and recordkeeping requirements.
